AI Use, Transparency & Resources
Our Commitment to Responsible Technology Use
Austin’s Mobile believes clients should understand how technology may be used in providing administrative and business-support services.
When appropriate, Austin’s Mobile may use artificial intelligence tools, including ChatGPT, to assist with research, organization, drafting, editing, summarization, document comparison, checklist development, and administrative quality review.
Artificial intelligence is used as a supporting tool. It does not independently make decisions for Austin’s Mobile or its clients, and it does not replace human judgment, client instructions, source verification, or final review.
Austin’s Mobile reviews and evaluates client deliverables before providing them to the client. Clients also retain responsibility for reviewing and approving their final information, representations, documents, correspondence, registrations, proposals, and submissions.
Tax-return information is subject to separate federal and state confidentiality requirements. Austin’s Mobile does not treat the general AI disclosures on this website as authorization to disclose or use a client’s tax-return information through an artificial intelligence service. Any use or disclosure of tax-return information will be governed by applicable tax-privacy requirements and, when required, appropriate taxpayer consent.
Our goal is to use available technology responsibly while maintaining honesty, confidentiality, accuracy, and appropriate human oversight.
Technology-assisted. Human-reviewed. Client-approved.
Artificial intelligence may be used to support selected administrative and business-related tasks when it is appropriate for the client’s project.
AI-assisted work may include:
Organizing client-provided information
Developing preliminary drafts
Improving grammar, clarity, and document structure
Summarizing publicly available information
Comparing documents for consistency
Developing checklists and workflow materials
Researching business classifications and administrative requirements
Preparing professional correspondence
Supporting opportunity summaries
Identifying items that may require additional review
Assisting with administrative quality control
The specific use of artificial intelligence may vary depending on the assignment, the sensitivity of the information, the client’s instructions, and the availability of appropriate official sources.
Artificial intelligence does not independently:
Approve client deliverables
Make business decisions for a client
Determine legal rights or obligations
Provide legal representation
Decide whether a business qualifies for a certification
Make representations or certifications on behalf of a client
Submit documents without authorization
Communicate with an agency or organization as though it were the client
Guarantee the accuracy or acceptance of a document
Guarantee a contract, subcontract, certification, registration, or other outcome
Austin’s Mobile retains responsibility for reviewing the administrative work it provides. Clients retain responsibility for confirming their facts, approving final materials, and making all final business and submission decisions.
Artificial intelligence may not be appropriate for every project or every document.
Austin’s Mobile may limit or avoid its use when an assignment involves:
Highly sensitive personal information
Confidential legal communications
Restricted government information
Trade secrets
Materials governed by a nondisclosure agreement
Information subject to special agency or contractual requirements
Documents that require review by a licensed or authorized professional
Client instructions that prohibit AI-assisted work
When appropriate, Austin’s Mobile may complete the assignment through traditional research, drafting, and document-review methods instead.
Artificial intelligence can be useful for organizing information and developing preliminary content, but it can also produce incomplete, outdated, inconsistent, or incorrect results.
For that reason, Austin’s Mobile does not treat AI-generated content as automatically accurate, complete, current, or authoritative.
Before client deliverables are provided, Austin’s Mobile may:
Review the content for clarity and consistency
Compare the material with client-provided information
Remove unsupported or overly broad statements
Correct formatting, wording, or organizational issues
Identify information that requires client confirmation
Check whether important requirements appear to be missing
Revise the material to reflect the agreed scope of service
Human review reduces risk, but it does not eliminate the need for client review and approval.
When appropriate, important information may be checked against official or primary sources, including:
Government agency websites
Solicitation and bid documents
Vendor-registration systems
Agency instructions and published guidance
Laws, regulations, and official forms
Prime-contractor instructions
Certification-program requirements
Client-provided records and source documents
Third-party websites, summaries, search results, and artificial intelligence responses may be useful starting points, but they should not replace the official source when the official source is available.
Government requirements, deadlines, classifications, forms, registration procedures, fees, policies, and technology practices may change over time.
Austin’s Mobile may verify information that is important to the agreed assignment, but clients should confirm current requirements with the issuing agency, contracting officer, certification authority, platform, or other responsible organization before relying on or submitting final materials.
Clients are responsible for confirming the accuracy of information that only they can verify, including:
Legal business name and ownership
Contact information
Experience and qualifications
Licenses and certifications
Past performance
Financial and pricing information
Staffing and operational capacity
Representations and certifications
Eligibility statements
Required signatures and authorizations
Clients must review and approve final materials before they are submitted, published, or used.
Clients should notify Austin’s Mobile promptly if they identify an error, omission, outdated statement, or misunderstanding in a draft or completed deliverable.
Questions involving legal interpretation, tax obligations, accounting treatment, eligibility determinations, procurement decisions, or other specialized matters should be directed to the appropriate licensed professional or responsible agency.
Artificial intelligence can support the work. Verification, human judgment, and client approval remain essential.
Austin’s Mobile recognizes that administrative and business-support assignments may involve personal, confidential, proprietary, or commercially sensitive information.
We seek to collect, use, and retain only the information reasonably necessary to provide the requested service.
Clients should not provide information that is unnecessary for the assignment.
Unless specifically required and appropriate safeguards have been discussed, clients should avoid sending:
Passwords or account login credentials
Complete Social Security numbers
Complete taxpayer identification numbers
Banking or payment-card information
Private encryption keys or security codes
Unredacted identification documents
Protected medical information
Confidential legal communications
Criminal-history or background-investigation records
Restricted government information
Trade secrets or highly sensitive proprietary information
When only part of a document is needed, clients should redact or remove unrelated sensitive information before sending it.
Austin’s Mobile seeks to minimize the client information entered into artificial intelligence tools.
When practical, information may be:
Summarized rather than copied in full
Redacted before use
Replaced with placeholders
Separated from names and contact information
Limited to the portion necessary for the task
Reviewed to remove unnecessary confidential details
Artificial intelligence tools will not be treated as permanent storage systems for client records.
Clients must notify Austin’s Mobile before providing information that is:
Subject to a nondisclosure agreement
Protected by a confidentiality clause
Restricted by a government agency or contracting partner
Controlled by an employer or third party
Export-controlled or otherwise legally restricted
Subject to special cybersecurity or data-handling requirements
Intended solely for review by an attorney, accountant, or other licensed professional
Austin’s Mobile may decline to receive or process information when the required safeguards are outside the scope of the available service.
Austin’s Mobile may use third-party technology providers for communication, document preparation, scheduling, storage, payment processing, or artificial intelligence assistance.
The privacy, security, retention, and data-handling practices of those providers are governed by their own terms and policies.
Austin’s Mobile will seek to use technology appropriate for the assignment, but no electronic communication, online platform, or storage method can be guaranteed to be completely free from risk.
Clients should use reasonable care when sending documents electronically.
Sensitive information should not be included in ordinary email, text messages, website forms, or appointment requests unless it is necessary and an appropriate method of transmission has been agreed upon.
Initial inquiries should include only the general information needed to understand the requested service.
Clients are responsible for confirming that they have the authority to provide documents and information to Austin’s Mobile.
Clients should not submit information belonging to another person, business, employer, agency, or contracting partner unless they are authorized to do so.
Providing information to Austin’s Mobile does not authorize its public release, publication, submission, or distribution unless the client separately approves that action.
Austin’s Mobile may retain project records for administrative, accounting, contractual, quality-control, or legal purposes.
Information that is no longer reasonably required may be deleted, securely discarded, returned, or retained in accordance with applicable business practices and obligations.
Clients should maintain their own copies of all final documents and source materials. Austin’s Mobile should not be treated as the client’s permanent records repository.
Clients may ask how their information is expected to be handled before providing documents or beginning an assignment.
Additional information about Austin’s Mobile’s general information practices is available in our Privacy Policy.
Protecting client information is a shared responsibility. Clients should provide only what is necessary, identify special restrictions in advance, and retain their own complete records.
Austin’s Mobile believes clients should have a reasonable opportunity to understand and discuss how generative artificial intelligence may be used in connection with their services.
Clients may ask questions about AI-assisted work before an assignment begins or while services are being provided.
A client may request that Austin’s Mobile:
Not use generative artificial intelligence for a particular assignment
Limit AI use to specific administrative tasks
Exclude particular documents or information from AI-assisted processing
Use AI only after identifying details have been removed
Complete designated portions of the work through traditional research and drafting methods
Explain the general role AI is expected to have in the project
Requests should be made before work begins whenever possible.
If a request is made after work has started, Austin’s Mobile will discuss whether the remaining work can reasonably be completed under the requested limitation.
Austin’s Mobile will consider:
The nature and complexity of the assignment
The sensitivity of the information involved
The client’s instructions
The agreed scope and completion schedule
The research and drafting methods required
The availability of appropriate non-AI alternatives
Any contractual, agency, or confidentiality restrictions
A limitation on generative AI use may affect the scope, price, delivery schedule, or availability of a service.
Austin’s Mobile will explain any material change before continuing with work outside the original agreement.
Austin’s Mobile may decline or discontinue an assignment when:
The requested restriction makes the agreed service impractical to complete
Appropriate safeguards are unavailable
The assignment requires technology or professional expertise outside our service scope
The information is subject to restrictions Austin’s Mobile cannot satisfy
The client requests work that would be inaccurate, misleading, unlawful, or inconsistent with our service boundaries
When practical, Austin’s Mobile may suggest a narrower administrative service or recommend that the client consult an appropriately qualified professional.
A request not to use generative artificial intelligence generally applies to tools that generate, rewrite, summarize, analyze, or organize content through an AI model.
It does not necessarily prohibit ordinary business technologies such as:
Word-processing software
Spreadsheets
Cloud storage
Scheduling systems
Payment-processing platforms
Grammar and spell-checking tools
Search engines
Government registration and procurement websites
Clients should identify any broader technology restrictions before providing documents or beginning an assignment.
Austin’s Mobile will not treat a client unfavorably merely because the client asks questions about AI use or requests reasonable limitations.
However, the client remains responsible for any additional time, cost, reduced scope, or scheduling change resulting from an approved restriction.
When an AI-use restriction materially affects an assignment, the agreed limitation should be documented in the service agreement, project confirmation, email, or other written communication.
The written confirmation may identify:
The documents or tasks covered
The types of AI use that are restricted
Any permitted exceptions
Changes to price or completion time
Alternative methods that will be used
The client’s continuing review responsibilities
Limiting AI use does not transfer responsibility for client-provided information to Austin’s Mobile.
Clients remain responsible for:
Providing accurate and complete information
Confirming facts, qualifications, and representations
Reviewing drafts and final materials
Approving documents before use or submission
Obtaining specialized legal, tax, accounting, or procurement advice when necessary
Complying with agency, contractual, and submission requirements
Clients may ask questions, request reasonable limitations, and make informed choices about AI-assisted work. Austin’s Mobile will communicate clearly about whether those choices affect the service’s scope, timing, or price.
Artificial intelligence can assist with research, organization, drafting, and administrative review, but it is not a licensed professional and should not be treated as an independent authority.
The use of ChatGPT or another AI tool does not expand Austin’s Mobile’s qualifications, licenses, authority, or agreed scope of service.
Unless expressly stated in a separate written agreement and provided by an appropriately licensed, credentialed, or authorized professional, Austin’s Mobile’s administrative-support services do not include:
Legal advice or legal representation
Interpretation of legal rights, duties, remedies, or defenses
Tax, accounting, investment, or financial advice
Procurement decisions or contracting-officer guidance
Certification or eligibility determinations
Engineering, medical, cybersecurity, or other regulated professional advice
Lobbying or representation before a government agency
Guarantees concerning approval, compliance, acceptance, or results
General information, document organization, checklists, summaries, and publicly available resources are provided for administrative and informational purposes.
AI-generated or AI-assisted information should not be relied upon as a substitute for advice from:
An attorney
An accountant
An Enrolled Agent or other qualified tax professional
A contracting officer
A government certification representative
A procurement professional
A financial adviser
A cybersecurity or information-technology professional
Another appropriately qualified specialist
Artificial intelligence may misunderstand a question, omit an important exception, rely on outdated information, or generate a response that sounds authoritative even when it is incorrect.
When Austin’s Mobile offers a service through an appropriately qualified independent contractor or other authorized professional, that service will be identified separately and governed by its own scope, terms, responsibilities, and applicable professional standards.
The availability of one qualified service does not mean that Austin’s Mobile or every person working with the business is authorized to provide advice in all legal, tax, financial, procurement, or professional matters.
Clients should confirm who is providing the service, the provider’s role, and the limits of the engagement before relying on specialized guidance.
Viewing this website, communicating with Austin’s Mobile, receiving general information, or reviewing AI-assisted content does not by itself create:
An attorney-client relationship
An accountant-client relationship
A tax-representation relationship
A procurement-consulting relationship
A fiduciary relationship
Representation before a government agency
Any other licensed professional relationship
A professional relationship exists only when it has been expressly accepted and documented by the appropriately qualified provider.
Clients remain responsible for deciding whether to:
Pursue a government opportunity
Submit an application or proposal
Make a representation or certification
Accept contractual terms
Rely on a particular classification
Adopt a legal, tax, financial, or business position
Sign or authorize a document
Seek specialized professional advice
Austin’s Mobile may help organize information and identify questions requiring further review, but it does not make those decisions for the client.
Clients should seek guidance from an appropriately qualified professional when a matter involves:
Legal interpretation or potential liability
Tax consequences or tax controversy
Financial reporting or accounting treatment
Ownership, entity formation, or governance decisions
Contract terms or negotiations
Regulatory compliance
Eligibility or certification disputes
Protected, restricted, or highly sensitive information
Significant financial commitments
Deadlines or decisions that may affect legal rights
Austin’s Mobile may pause or limit an assignment when professional review appears necessary before administrative work can reasonably continue.
Human review and source verification reduce risk, but neither Austin’s Mobile nor an artificial intelligence system can guarantee that all information will be complete, error-free, accepted, or suitable for every circumstance.
Government agencies, contracting officers, certification authorities, courts, financial institutions, and other organizations retain authority over their own requirements and decisions.
AI may support research and preparation, but it does not create expertise, professional authority, or guaranteed results. Clients should obtain qualified advice whenever a decision requires specialized professional judgment.

OpenAI provides ChatGPT users with account and data controls that may vary according to the service, plan, workspace, location, and current product settings. Visitors should review their own account settings and OpenAI’s official documentation rather than assuming that another user’s settings apply to them.
Austin’s Mobile cannot access, manage, or change a visitor’s personal ChatGPT or OpenAI account settings.

External resources are provided for convenience and general information. Visitors should confirm important requirements directly with the responsible organization and review that organization’s current terms, privacy practices, and official guidance.
Visitors and clients may contact Austin’s Mobile with reasonable questions about how artificial intelligence may be used in connection with an administrative or business-support service.

Whether identifying details can be removed or replaced
Whether AI use can be limited for a project

Austin’s Mobile will seek to provide a clear explanation based on the nature and scope of the requested service.
However, Austin’s Mobile cannot provide technical assurances, legal conclusions, cybersecurity guarantees, or interpretations of another company’s technology, policies, or data practices beyond the information made available by the responsible provider.

When a signed or expressly accepted service agreement contains more specific terms, those terms will govern the particular client assignment to the extent permitted by law.
Nothing on this page expands Austin’s Mobile’s professional qualifications, licenses, authority, or scope of services.
Transparency concerning the use of artificial intelligence does not mean that Austin’s Mobile offers:
Artificial intelligence consulting
Technical AI development
Cybersecurity services
Legal advice
Procurement representation
Certification or eligibility decisions
Guaranteed verification of all information
Guaranteed protection against every technology or privacy risk
Guaranteed business or government-contracting results
Austin’s Mobile provides only the services that have been expressly described and agreed upon.

When AI is used, Austin’s Mobile seeks to apply reasonable human review, limit unnecessary sensitive information, consult official sources when appropriate, communicate relevant service boundaries, and preserve the client’s responsibility for final review and approval.
Artificial intelligence is not treated as a licensed professional, government authority, independent decision-maker, permanent records system, or guaranteed source of accurate information.
